Who we are
This site is run by EA Cambridge, an unincorporated association based in Cambridge, United Kingdom, which is the controller of the personal data described here. In the rest of this notice, “we” and “us” mean the team that runs this site. This notice covers the research partner sign-up form and the research submission form on this site; our full privacy policy explains your rights in more detail.
What we collect
When you sign up for a research partner, we collect your name, whether you’d prefer to be contacted by email or phone, your email address or phone number, your university email if you choose to give it, your AI safety experience, the role and research areas you’re interested in, the question you’d like to work on, whether you’d prefer to meet in person at your university, in person somewhere else or online, roughly how much time you have and when you’re usually free.
When you submit research for review, we collect your name, your email address, the title, link and summary of your work, its research area and the names of any other authors you list.
How we use it
We use your sign-up answers to match you with research partners and to support your team, for example by checking in on how your project is going. We rely on your consent, which you give by ticking the required box on the form.
If you also tick the optional box about recommendations, we may recommend you to other AI safety organisations, such as research programmes, that we think are a good fit, and share your name, contact details and relevant answers with them. Once they have your details, their own privacy policy applies. You can sign up without ticking it.
We use research submissions to review your work. If we accept it, we publish its title, summary, link and the authors’ names on this site. We rely on your consent, which you give by ticking the box on the submission form. If you list other authors, please check they’re happy to be named.
When we match you, we share your name and contact details with the people in your team, and they share theirs with you. If your project goes well, we may suggest opportunities such as mentored research programmes, but we will only pass your details to another organisation if you ask us to or tick the optional recommendations box.
We do not sell your data or use it for advertising.
Where it is stored
Your answers go into Google Forms and Google Sheets held in our Google account. Only committee members who run this project can see them. Google may process the data outside the United Kingdom under a transfer arrangement recognised by UK data-protection law.
This website is hosted on GitHub Pages. When you visit, GitHub receives technical information such as your internet protocol address and browser details, which it uses to deliver and secure the site. This site sets no cookies of its own and uses no analytics.
How long we keep it
We keep your sign-up for 12 months after your last involvement with a project, then delete it. We keep research submissions we don’t publish for 12 months after we review them, then delete them. Published entries stay on the site until you ask us to remove them. You can ask us to delete your data sooner at any time.
Your rights
You can ask for a copy of your data, ask us to correct or delete it, or withdraw your consent at any time, including consent to being recommended to other organisations or to a published entry. Withdrawing consent stops future use but does not affect matching or recommendations we have already made. Contact jianxin@eacambridge.org.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office.
